Scheduling Coordinator
This role is responsible for coordinating and managing patient appointments across Antidote Health’s telehealth services, ensuring a smooth and efficient scheduling experience for patients and providers. The individual will contribute to timely access to care, optimized provider scheduling, and a high-quality patient experience, working cross-functionally with clinical, provider, and operational teams.

Position Overview
This role is responsible for coordinating and managing patient appointments across Antidote Health’s telehealth services, ensuring a smooth and efficient scheduling experience for patients and providers. The individual will contribute to timely access to care, optimized provider scheduling, and a high-quality patient experience, working cross-functionally with clinical, provider, and operational teams.
This is a fully remote position, open to candidates based within the United States
Key Responsibilities
Scheduling & Appointment Management
- Schedule, reschedule, and cancel patient appointments across telehealth providers and specialties.
- Monitor and manage provider calendars to ensure optimal scheduling efficiency and minimize gaps.
- Confirm upcoming appointments with patients via phone, email, or secure messaging.
- Coordinate appointment logistics including technology setup guidance and pre-visit instructions.
- Manage waitlists and proactively fill appointment openings as they become available.
Patient Communication
- Serve as a primary point of contact for patients regarding scheduling inquiries, appointment changes, and general administrative questions.
- Communicate appointment reminders and follow-up information in a timely and professional manner.
- Assist patients in navigating the telehealth platform and address basic technical concerns or escalate as needed.
- Handle patient concerns with empathy, professionalism, and adherence to HIPAA privacy standards.
Administrative Support
- Maintain accurate and up-to-date scheduling records within the electronic health record (EHR) system.
- Verify patient demographics and insurance information as part of the scheduling process.
- Support the coordination of referrals and follow-up appointments as directed by clinical staff.
- Assist with other administrative duties as assigned to support operational needs.
Collaboration & Compliance
- Collaborate with clinical and operational teams to ensure scheduling aligns with provider availability and patient care needs.
- Adhere to all HIPAA privacy and security requirements in the handling of patient information.
- Participate in team meetings and contribute to continuous improvement efforts within the scheduling function.
- Follow all organizational policies, procedures, and compliance standards.
Qualifications
Required:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Minimum 2 years of experience in a healthcare scheduling, medical office, or administrative support role.
- Familiarity with electronic health record (EHR) systems and scheduling platforms.
- Strong verbal and written communication skills.
- Ability to manage multiple tasks simultaneously in a fast-paced, remote environment.
- Reliable internet connection and a private, distraction-free workspace.
Preferred:
- Experience in a telehealth or virtual care setting.
- Knowledge of insurance verification and prior authorization processes.
- Bilingual or multilingual skills.
Compensation and Benefits
- Base salary range: $45,000-$55,000 (commensurate with experience and location)
